Important Reminder About Our Cancellation and No-Show Policy

We hope this message finds you well. At Vanity Medical Spa, we are committed to providing you with the highest level of care and ensuring that all patients have access to the appointments they need. To help us maintain this standard, we kindly remind you of our Cancellation and No-Show Policy:

Advance Notice Requirement 

1. Once your appointment is scheduled, you are expected to attend or provide at least 24 business hours advance notice to cancel. 
2. Business hours are weekdays, Monday to Friday, between 8:00 AM and 5:00 PM. 
3. For example, if your appointment is on Monday, January 7th at 4:00 PM, you must cancel by 4:00 PM on Friday, January 4th to avoid charges. 

Missed or Late Cancellations 

1. If you do not provide at least 24 business hours’ notice or fail to attend your appointment, you will be charged up to the full cost of the session. This includes group sessions. 
2. Please note that insurance companies typically do not reimburse for missed sessions or late cancellations. 

Payment Policy 

1. You will not be able to schedule or attend future sessions until any outstanding balance for missed or late-canceled appointments is paid in full. 

Our policy aligns with the Medicare Claims Processing Manual (Chapter 12, Section 30.3.13), which permits providers to charge for missed appointments.
